Setup guide

From sign-up to your first sale

13 steps in four stages, about 90 minutes of work in all, most of it checking your price list. The same steps appear in your portal and tick themselves off as you finish each one.

Before you start. You need your price list (any format), your WhatsApp Business number and access to your domain's DNS settings for email. Nothing is sent to buyers until you approve it: for the first 14 days the assistant drafts and you send.

1Set up the business

Confirm your email address

About 1 minIn the portal: Plan and billing

Invoices, security notices and handover alerts go to the owner. We confirm the address before anything is sent to it.

  1. Open the confirmation email we sent when you signed up and press Confirm.
  2. No email? Check the spam folder. (In this demonstration no email is sent: open Plan and billing and press Confirm.)
  3. You can keep setting up while you wait. Nothing is sent to buyers until you finish the guide.

Add your address and opening hours

About 3 minIn the portal: Setup guide

The assistant answers "where are you" and "are you open on Sunday" from these two fields, and nothing else. If they are empty it says it will check with you.

  1. Type the address buyers should see, with the postal code.
  2. Write opening hours the way you would say them, for example "Mon to Sat 9 am to 7 pm, closed Sundays and public holidays".
  3. Press Save. The change is live for the next message.

Check your catalogue and prices

About 20 minIn the portal: Catalogue

Every price in a quote comes from this list. The assistant never makes a price up, so the list has to be right before buyers see it.

  1. Open Catalogue and press Open a draft.
  2. Change names, descriptions and prices in the table, or import your own price list as a CSV file.
  3. Remove anything you do not sell, then press Publish. The published list becomes version 2 and every quote records which version it used.
  4. Starting from the sample catalogue? Its prices are examples. Publish only when they are yours.

Record allergens for every dish

About 15 minIn the portal: CatalogueFood and catering only

Buyers ask about nuts, gluten and halal. The assistant answers only from what you record; an item with no record is shown as "not recorded" and the question comes to you.

  1. In the catalogue draft, open each food item and tick the allergens it contains (the 14 major allergens are listed).
  2. Tick "none" only when you are sure. Leave it blank if you are not.
  3. Publish the draft. The menu page and every quote show the allergens of the whole order.

Set your calendar and capacity

About 10 minIn the portal: Calendar

Quotes hold a slot and an accepted quote confirms it. The calendar stops the assistant from offering a date you cannot do.

  1. Choose the days you work and the time blocks you take orders for.
  2. Set how many orders each block can take, and how much notice you need.
  3. Block out holidays and days you are closed. One-off bookings taken by phone go in here too.

2Connect your channels

Connect WhatsApp, Telegram and email

About 15 minIn the portal: Setup guide

Buyers write where they already are. Each channel is connected by you, in your own account, and can be disconnected at any time.

  1. WhatsApp: sign in with your Meta business account and choose the number (Meta Embedded Signup). In this demonstration the number is already connected.
  2. Telegram: create a bot with BotFather and paste its token. Already connected in the demonstration.
  3. Email: forward your sales address to the inbound address shown, then publish the two domain records (DKIM and DMARC) at your domain host.
  4. Press Check records. We look the records up and tick the step when both are found.

Get your WhatsApp templates approved

About 2 minIn the portal: Setup guide

WhatsApp only lets a business message a buyer first, or after 24 hours of silence, with a template Meta has approved. Quote reminders and order confirmations use two.

  1. Your two templates (quote reminder and order confirmation) were submitted when the account was created.
  2. Meta usually reviews utility templates within a day. Press Check status to see the result.
  3. If Meta files a template as marketing, it still works but costs more per message; the Rules screen shows the category Meta chose.

3Make your first sale

Send yourself a test enquiry

About 5 minIn the portal: Buyer simulator

You see exactly what a buyer sees, and you approve the first reply yourself.

  1. Open the Buyer simulator and pick a channel.
  2. Ask for a price the way a customer would, for example "How much for 40 pax buffet this Saturday?".
  3. The reply waits in the Inbox as a draft. Read it, change it if you want, then press Approve and send.

Issue your first quotation

About 5 minIn the portal: Quotes

The quotation is priced by the platform from your list, with GST, delivery and any live discount. You check it before it goes out.

  1. Carry on the test conversation until the assistant has the details it needs (date, quantity, delivery).
  2. It prepares the quotation and holds it for you. Open it from the Inbox or Quotes.
  3. Check the lines and the total, then press Approve. The buyer gets a link to the quotation page.

Make your first sale

About 2 minIn the portal: Quotes

A sale is a quotation the buyer accepts. This is where the setup guide ends; from here the Today screen shows your work queue.

  1. Open the quotation link as the buyer and press Accept, or reply "ok confirm" in the chat.
  2. If you take a deposit, the buyer sees the PayNow details and the slot is held until it arrives.
  3. Mark the deposit received on the order. The slot is confirmed and the calendar shows it.

4Before the trial ends

Choose your plan and add billing details

About 5 minIn the portal: Plan and billing

Nothing is charged during the free trial. We ask for the business details that go on a tax invoice, a data protection contact, and a card to charge when the trial ends.

  1. Open Plan and billing. Pick the plan that fits your team; you can change it at any time.
  2. Add your registered name, UEN, address, billing email and data protection contact. Each one shows when it is needed.
  3. Add a card. It is charged on the day the trial ends, not before. Without one, the account goes on a 7-day grace period, then pauses: drafts are kept, nothing is sent on its own, and no data is deleted.

Switch on autopilot, one message type at a time

About 5 minIn the portal: Autopilot

For the first 14 days you approve every reply. That record shows which kinds of message the assistant gets right, so you can let it answer those alone.

  1. After day 14, open Autopilot. Each message type shows how many drafts you sent unchanged.
  2. Switch on a type that clears the gate (90% unchanged over at least 20 drafts). It runs on probation with spot checks.
  3. If quality drops, it switches itself back to copilot and tells you why.

Invite your teamOptional

About 3 minIn the portal: Team

Each person gets their own seat and role, so a customer service colleague can answer buyers without seeing your sales figures.

  1. Open Team and press Add a member. Give their name, work email and role.
  2. Set what each role may do in the access table.
  3. Need more seats than your plan has? Add a seat on Plan and billing, or move up a plan.

When the trial ends. With a card and your business details on file, your plan starts and the first invoice is charged. Without them the assistant keeps working for 7 days, then pauses: drafts are kept for staff to approve, nothing is sent on its own, and nothing is deleted. See pricing.
